Major/Essential Duties of Job

The Administrative Associate V is responsible for supervising clerical tasks involving working funds and reconciling daily deposits. This role includes managing accurate shift changes of Pay-On-Foot machines and Pay-By-Space machines, overseeing general financial aspects, and ensuring accuracy in all transactions. Additionally, the Administrative Associate V generates reports and analyzes data to support financial operations. They assist and answer questions from student workers, ensuring a smooth workflow, and perform supervisory duties with cashiers to ensure efficient and accurate handling of transactions. The role also involves visiting all pay machines across campus to pull out and review reports, attempting to fix any issues with pay machines, and coordinating with facilities if unable to resolve the issues independently. Furthermore, the Administrative Associate V works with various programs such as Flex, I Payments, and Park Mobile to support parking operations. Responsibilities: Reconciliation- Responsible for accurate cash and credit card reporting for paid visitor parking machines. Reconciles daily reports and year to date totals. Submits accurate daily deposit paperwork to Financial Management Services. Prepares I-Payments. Investigates errors on transactions and recommends appropriate corrective action. Responds to inquiries from customers and Financial Management Services. Cash Handling- Responsible for shift changes and loading of Pay-On-Foot and Pay-By-Space machines at all locations. This requires driving to various locations on campus weekly to interact with the machines and identify issues with the machines as well as coordinating with other units to ensure the machines are kept in working order. Leader- Responsible for the supervision of staff during special events when needed including all home football games. Supervisory duties include driving to the various work sites on campus, providing resources and relief to event staff, answering questions, and resolving matters involving customers. Responsible for assisting with event preparation and planning. Provides support to student worker office staff by answering questions or phone calls. Backup- Serves as back up to other members of the unit during busy periods or absences including being responsible for posting all open shifts to cover special event cashiering or other staffing needs, responding to all requests to work for event shifts and providing detailed information to everyone scheduled to work. Also serves as backup for fielding and processing customer requests for RV reservations. Responsible for posting all open shifts to cover special event cashiering or other staffing needs. Participates in the interviewing and hiring of new employees. Trains staff on new and existing business procedures within the unit. Disseminates business information to faculty, staff, and students. Required Education and Experience

Required Education and Experience High school graduation or any equivalent combination of education and experience. Five years of experience in general office or clerical work. Required Special Knowledge, Skills, and Abilities: Knowledge of account reconciliation and problem solving. Must be detail oriented with a high degree of accuracy in maintaining records and reports. Working knowledge of spreadsheet and word processing software programs. Keyboarding skills. Ability to identify work priorities. Good organization and time management skills. Adept at written, oral, and interpersonal communication. Customer-service oriented. Ability to multi-task and work cooperatively with others.

Preferred Education and Experience

Preferred Qualifications: Bachelor's degree Task management experience, banking experience, and/or experience using banking reporting systems and data management systems. Working knowledge of the University and facilities. Certified Administrative Professional (CAP). State of Texas class "C" vehicle driver license or the ability to obtain within 30 days of employment.
