The Assistant Manager for Special Events assists the Manager for Special Events in providing supervision and oversight of employees within the Special Events unit and serves as manager in their absence. Collaborates with the other Assistant Manager for Special Events on hotel coordination, event, RV and conference parking, and traffic needs. Assists in developing a plan of action for guests at the Texas A&M Hotel & Conference for daily, event, and conference parking, and for special events taking place on campus. Monitors the parking management system to review counts and equipment alerts and takes action to ensure appropriate staffing and assistance is provided. Assists in developing a plan of action for guests at the Texas A&M Hotel & Conference for daily, event, and conference parking, and for special events taking place on campus. Responsibilities Management and Oversight of Special Events Unit- Assists the Manager for Special Events in providing supervision and oversight of employees within the Special Events unit and serves as manager in their absence. Collaborates with the other Assistant Manager for Special Events on hotel coordination, event, RV and conference parking, and traffic needs. Assists the Manager in the formulation, interpretation and implementation of departmental and unit goals, objectives and policies to ensure delivery of quality parking services. Handles and processes customer inquiries, and reviews suggestions and complaints concerning parking policies for students, faculty and staff. Responds to difficult customer inquiries and complaints that escalate beyond the Special Events staff. Confers and educates students, faculty, staff, and visitors on Texas A&M University traffic and parking regulations, and coordination of special events, conferences, and RV parking. Responsible for accurate cash and credit card handling, deposits, and reconciliation for the unit. Required to drive to various locations for meetings, and events around campus. Represents the department on various committees, working groups, and at meetings around campus. Assists as the property accountability officer for the unit. Responsible for complying with audit controls within the unit.   Hotel and Special Event Coordination- Assists in developing a plan of action for guests at the Texas A&M Hotel & Conference for daily, event, and conference parking, special events, and Fun Runs taking place on campus. Coordinates reservations and itineraries with hotel liaisons and/or customers to include meetings, event locations, and times to confirm customer planning. Consults with customers on finding solutions when hotel and event parking coordination may not meet anticipated needs. Communicates plans to department units as deemed necessary. Ensures event plans are communicated immediately within the Special Events unit through the online Special Event. Calendar and through in person scheduled meetings. Provides on-site supervision for hotel and special events as needed. Coordinates with hotel valet to reserve, monitor, and assist with customer arrangements. Reviews staffing levels in Stallings Blvd. Garage to meet the needs of the hotel and other events using the facility.   Operational Planning- Monitors the parking management system to review counts and equipment alerts and takes action to ensure appropriate staffing and assistance is provided. Develops content and publishes operating manuals for event management.   Supervision of Special Events Employees- Responsible for selecting, orienting, training, and motivating and retaining staff capable of meeting current and projected needs for the unit. Plans, schedules, and monitors staff, including the coordination/assigning of tasks. Ensures adequate staffing for meeting unit goals and engages in the interview and hiring process. Provides disciplinary actions, terminations, probationary revies and annual evaluations as appropriate. Provides employees with operational feedback on a consistent basis. Approves time worked and leave requests for employees.    Physical Requirements  This role involves working in a variety of outdoor conditions, including exposure to heat, cold, and varying weather. The position may require climbing stairs and handling objects that range from moderate to heavy in weight. Other Requirements and Factors  This position is security sensitive. This position requires compliance with state and federal laws/codes and Texas A&M University System/TAMU policies, regulations, rules and procedures. All tasks and job responsibilities must be performed safely without injury to self or others in compliance with System and University safety requirements. Occasional Duties

Required Education and Experience

Required Education Bachelor’s degree or equivalent combination of education and experience. Four years of administrative experience, to include three years of supervisory experience in event, retail, or restaurant management.   Required Licenses and Certifications Must have a Class “C” vehicle operator’s license or ability to obtain within 30 days of employment.  Required Knowledge, Skills, and Abilities  Established capability in leading and developing teams.   Ability to identify and organize work priorities.   Advanced oral and written communication skills.  Ability to work and operate effectively under pressure.   Ability to work and operate independently with limited supervision.   Ability to delegate and utilize skills of personnel.  Ability to multi-task and work cooperatively with others.  Skilled in delivering precise and thorough work within established timeframes.

Preferred Education and Experience

Preferred Qualifications:  Five years of experience in event, retail, or restaurant management.   Experience in transportation management or event parking management.
